A fully-owned AI patient engagement platform, designed and implemented for BellaSee.
Vision Concierge is not software you rent. It is enterprise AI infrastructure that BellaSee owns, understands, and controls. Divigner designs it, implements it, documents it thoroughly, and remains available as your long-term AI partner, not your gatekeeper.
Source code. Vendor accounts. Credentials. Infrastructure. Data. Knowledge base. Integrations. There is no vendor lock-in: any qualified technology company can maintain this platform, and we document it so they could. Divigner earns the relationship through expertise, service, and innovation, not through licensing.
Every call, message, and website visit is answered around the clock. For a premium eyecare practice, each missed inquiry is often a patient researching a life-changing procedure.
Patients receive thoughtful, consistent answers in BellaSee’s calm, reassuring voice, at whatever hour they reach out. The spa-like experience begins before they ever walk in.
Routine scheduling, confirmations, and intake conversations are handled automatically, returning hours to your front desk.
One approved knowledge base drives every channel, so patients hear the same accurate answers by phone, web, and text.
Inquiries are engaged in seconds, not returned from voicemail the next business day.
The platform extends to new capabilities and new locations without rebuilding, including future Bellasee franchise practices.

BellaSee delivers luxury eyecare in a calming, spa-like environment: cornea, cataract, and refractive surgery alongside aesthetic services and functional medicine. Your patients arrive anxious about eye surgery and leave reassured, and your systems reflect deliberate choices. This implementation is configured around how BellaSee actually operates; nothing here is a generic install.
BellaSee spans insurance-billed surgical care and cash-pay refractive, aesthetic, and functional medicine services. The concierge answers coverage and pricing questions from your approved policy language and collects insurance details during intake, so patients arrive prepared. Automated eligibility verification machinery is intentionally outside the base scope; if discovery shows it would pay for itself, it is scoped separately, and you never pay to build capabilities you will not use.
Two further configuration choices worth noting. Appointment confirmations can be delivered through your existing practice email infrastructure rather than a new subscription, and the deposit workflow is built on the payment solution you already trust. Every Vision Concierge implementation is customized this way: the platform bends to the practice, never the reverse.
The platform’s intelligence comes from a knowledge base engineered from your practice’s own materials. The objective is not to teach the AI ophthalmology; it is to teach the AI how BellaSee practices eyecare.
During knowledge engineering we gather, curate, and structure the materials that define your practice, then review the result with you before anything reaches a patient. Source materials typically include:
Your patients ask about laser versus traditional cataract surgery, premium lens options, LASIK versus PRK candidacy, cornea transplantation, dry eye therapy, and how eyecare connects to whole-body health. A generic assistant would guess. Yours answers from BellaSee’s own positions, in BellaSee’s calm and reassuring voice, and gracefully escalates anything it has not been approved to address.
Conversational AI is one capability of a larger system. The platform connects your patient channels to your practice systems through a core you own end to end.
Answers your published line 24/7, always identifying itself as an AI assistant. It handles sophisticated patient questions from the approved knowledge base, books and manages appointments, takes structured messages, transfers by your office rules, and escalates urgent situations immediately.
The same intelligence embedded on your website. Visitors ask questions, explore your procedures and services, request consultations, and begin intake; conversations share one knowledge base with the phone, so answers never diverge.
Real-time availability, booking, rescheduling, cancellations, confirmations, and reminders, synchronized with Optivate and your calendars rather than a parallel schedule.
Two-way texting for confirmations, reminders, and quick questions, with conversation history visible to your team and every exchange grounded in approved content.
Where your policies call for a deposit, such as refractive or aesthetic consultations, the platform requests and confirms it through your existing payment solution before the appointment is finalized. No new processor, no parallel merchant account.
Structured call summaries, message routing to the right team member, follow-up task creation, and daily digests, so nothing rests on someone remembering to check a voicemail box.
BellaSee runs Optivate, the ophthalmology-specific EMR and practice management platform from EyeMD EMR Healthcare Systems, and this integration is included for BellaSee as a $1,800 add-on to the base platform. We have already mapped the integration path, a head start that de-risks scoping and shortens your implementation timeline; final scope is confirmed against your Optivate configuration during discovery.
| Capability | Optivate (formerly EyeMD EMR) |
|---|---|
| Specialty fit | Engineered specifically for ophthalmology; EMR and practice management in one platform |
| API available | Yes, FHIR-based API with published documentation |
| Scheduling & engagement | Appointment management, waitlisting, and recalls exposed by the platform |
| HIPAA approach | BAA + scoped API credentials |
At go-live, BellaSee receives a complete ownership package. This is the difference between renting an outcome and owning an asset: everything needed to operate, audit, or transition the platform is delivered to you in writing.
The complete codebase, prompts, and configurations, delivered in a repository under BellaSee’s control. Not escrowed, not licensed: owned.
A living spreadsheet of every vendor in the platform: purpose, monthly cost, renewal schedule, billing frequency, login URL, credentials, usage limits, and overage pricing. Every account in BellaSee’s name.
Plain-language procedures for daily operations, administrative tasks, prompt management, vendor management, and backup and recovery.
Current-state diagrams covering phone, AI, EHR, website, hosting, APIs, knowledge base, email, and SMS, so any engineer can orient in minutes.
Operational guidance for monitoring, routine maintenance, incident response, vendor updates, and recovery procedures.
A step-by-step document explaining how another qualified automation provider could assume responsibility for the platform.
The Transition Guide exists so you never feel you need it. We would rather keep your business because the work is excellent than because leaving is hard. Transparency is the deliverable; trust is the outcome.
The BellaSee implementation in Section 02 is complete on its own. These modules extend it. Check any module you would like us to scope; selected modules are marked for custom scope and priced for your specific workflows.
Interactive: Tap to SelectAll modules below start unselected. Tap a card to add it to your scope request; tap again to remove it. Your choices appear in the summary at the bottom before anything is sent.
A secure, time-limited assistant that activates after cataract, cornea, or refractive surgery and retires when recovery is complete. Post-operative eyecare lives and dies by drop schedules and activity restrictions; this extends your standard of care into the hours when patients are home, anxious, and re-reading their instructions.
A private assistant for your team, trained on internal SOPs, surgical protocols, and policies. New staff ramp faster across the clinic, surgical, and spa sides of the practice, and experienced staff stop interrupting each other for answers the practice has already written down.
✓ Selected for Custom ScopePatient trust is BellaSee’s core asset. The platform is configured conservatively, documented honestly, and structured so that you always know where every piece of data lives and who can touch it.
Executed with vendors that handle protected health information, where applicable. The Vendor Registry records BAA status alongside every account so coverage is auditable at a glance.
Data encrypted in transit across all channels and at rest on supporting vendor infrastructure, using the vendors’ native controls.
Role-based access with least privilege, multi-factor authentication on vendor and administrative accounts, and named accounts rather than shared logins.
Administrative actions and system events are logged and reviewable, and the Runbook describes how to review them.
Conversation transcripts are stored in infrastructure you own, with retention windows and access rules set by BellaSee policy rather than a vendor default.
Every record, transcript, and configuration lives in accounts registered to BellaSee. If our relationship ended tomorrow, your data would not move an inch.
HIPAA compliance is a shared responsibility, not a product feature. Vendors supply capabilities such as BAAs, encryption, and access controls; the implementation and your operating procedures complete the picture. We differentiate clearly between what vendors provide and what the practice must uphold, we document exactly which responsibility sits where, and we do not claim certifications we do not hold.
The platform runs on best-in-class services billed directly to accounts BellaSee owns. These are planning estimates, not quotes; actual costs scale with call and message volume, and you see every invoice because every account is yours.
| Vendor | Role in Your Platform | Planning Estimate |
|---|---|---|
| Twilio | Telephony and SMS | $60 – $175 / mo |
| ElevenLabs | Natural voice synthesis | $75 – $250 / mo |
| LLM Provider | Language intelligence (OpenAI, Anthropic, Google, or AWS Bedrock) | $20 – $200 / mo |
| Appointment confirmations via your existing practice email infrastructure (Google Workspace at $14–$24 per user only if new) | $0 with existing | |
| Make | Workflow automation | $29 – $99 / mo |
| Supabase | Database and authentication | $25 – $50 / mo |
| Cloud Hosting | Application hosting | $25 – $100 / mo |
Approximately $235 to $875 per month, excluding subscriptions the practice already owns, such as your existing email infrastructure and payment solution. Costs are paid directly to each vendor, remain under BellaSee’s ownership, and are itemized in the Vendor Registry with renewal dates, limits, and overage pricing.
The Care Plan is optional. The platform runs without it, and your Ownership Package contains everything required to maintain it independently or through any qualified provider. Two clearly separated ways to work with us after go-live:
Optional and month to month: no term contract, cancel anytime. One flat fee covers steady-state stewardship of everything that already exists:
The Care Plan does not include new functionality. It keeps the platform healthy; it does not grow it. And because your Ownership Package documents everything, you are never dependent on it.
New capability, scoped and priced individually before any work begins:
Each enhancement begins with a written scope and estimate. You approve before we build; there are no surprise invoices.
A realistic schedule for the BellaSee configuration, with eight weeks as the ceiling rather than the target. Delivery often lands sooner depending on the requirements workflow: how quickly materials, decisions, and system access come together during discovery. Each stage ends with something you can see and approve.
Systems, workflows, escalation rules, and goals. Vendor accounts are created in BellaSee’s name from day one.
Your materials are curated and structured into the approved knowledge base, then reviewed with your team.
Phone, website, and SMS personas, conversation flows, and the consultation deposit workflow.
Scheduling, lookup, and synchronization built and verified against your Optivate (formerly EyeMD EMR) system.
Scripted scenarios, adversarial testing, and escalation drills until the platform behaves correctly under pressure.
Staff training, SOP walkthrough, and administrative handover, including the full Ownership Package.
Supervised launch with daily check-ins through stabilization. Stages that finish early pull everything after them forward.
The platform architecture has already been designed, built, and hardened in production, and what is implemented for BellaSee is not a one-off: it is built to extend across the Bellasee model as it grows.
Separate AI, BellaSee branding, your phone number, your knowledge base, and your integrations. Nothing is shared with any other practice: patients experience a platform built for BellaSee alone, and ownership is complete, with your own accounts, data, and documentation.
As Bellasee Franchising brings luxury eyecare to new practices, each location can receive its own Vision Concierge instance, delivering a consistent, calming patient experience across the brand without rebuilding anything.
